1. Who we are and what this document is
WorkAid is a claim organization tool for California workers' compensation. It is operated by the WorkAid team and is currently in private beta — available to a limited group of invited users for testing and feedback purposes only.
This notice explains what information WorkAid collects when you use the app, how that information is used, and what choices you have. Because WorkAid is in private beta, these practices may evolve before any public launch. We will update this notice when material changes occur.
This notice is founder-drafted. It has not been reviewed or approved by an attorney. It describes our actual practices in plain language.
2. Information we collect
When you use WorkAid, we collect information that you enter or upload:
- Account information — your name and email address used to create and access your account.
- Claim details — injury date, employer information, carrier or insurer, claim number, adjuster contact, DWC-1 filing date, and related claim fields you enter.
- Injury and workers' compensation information — information about your workplace injury and claim status that you add to your record.
- Treatment and care access records — treatment visits, authorization requests, referral status, and related notes you log.
- Payment tracking records — temporary disability payment dates, amounts, covered periods, and any dispute notes you enter.
- Communication logs — records of calls, emails, letters, and adjuster interactions that you log manually.
- Message drafts — draft messages you create using WorkAid's message drafting feature.
- Uploaded documents — files you upload to your document vault, such as medical records, letters, and claim forms.
- Technical and log data — standard server and access logs generated when you use the app, such as request timestamps and error records.
WorkAid does not use tracking pixels, advertising cookies, or behavioral analytics tools. We do not collect information about you from third-party sources.
3. How we use your information
We use your information solely to operate WorkAid and provide its features to you:
- To operate your account and authenticate your access.
- To organize your claim records and display them in your dashboard, timeline, vault, payments tracker, treatment tracker, and communications log.
- To support the message drafting feature — your drafts are stored so you can return and edit them.
- To improve WorkAid's functionality during the private beta — we may review usage patterns in aggregate to identify issues and improvements.
- To maintain security, diagnose errors, and troubleshoot problems.
We do not use your claim information, injury details, medical records, or uploaded documents to train machine learning models or to build advertising profiles.
4. What WorkAid does not do
- WorkAid does not sell your personal information.
- WorkAid does not use your uploaded claim documents or medical records for advertising or marketing.
- WorkAid does not automatically send communications on your behalf. You review, edit, and send every message yourself.
- WorkAid does not provide legal advice.
- WorkAid does not provide medical advice.
- WorkAid does not represent you in your workers' compensation claim.
5. Sharing and disclosure
Your information is not sold or shared with third parties for their independent use. We may share information in the following limited circumstances:
- Service providers — WorkAid uses Supabase (database and authentication) and Vercel (hosting and deployment) to operate the app. These providers process data on our behalf under their own security and privacy standards. They do not receive permission to use your data for their own purposes.
- Legal and compliance — We may disclose information if required by law, court order, or to respond to a valid legal process.
- User-directed sharing — If you ask us to share or export your data, we will do so only as you direct.
6. Document uploads and storage
Files you upload to your document vault are stored in a private, access-controlled storage bucket. Files are not publicly accessible. Only your authenticated account can access your uploaded files through WorkAid.
You are responsible for the accuracy and appropriateness of files you upload. Do not upload documents belonging to others without authorization.
7. Data retention during private beta
During the private beta, your account and all associated data — including claim records, documents, payment logs, and communications — are retained while your account is active or as needed to provide the service.
Final data retention policies for a public service have not yet been established. If you would like your data deleted at any time during the beta, contact us at beta@workaidapp.com.
8. Your choices
You can request access to, correction of, or deletion of your account data at any time by emailing beta@workaidapp.com. We will respond within a reasonable timeframe. During the private beta, we handle these requests manually.
9. Security
WorkAid uses reasonable technical safeguards to protect your information, including encrypted connections (HTTPS), access-controlled database storage, and authenticated sessions. Document files are stored in a private, non-public storage bucket.
No system is perfectly secure. We cannot guarantee that unauthorized access, data loss, or disclosure will never occur. If you believe your account has been compromised, contact us immediately at beta@workaidapp.com.
10. Children
WorkAid is not intended for use by anyone under the age of 18. We do not knowingly collect information from children. If you believe a child has created an account, please contact us and we will delete it.
11. California private beta
WorkAid is currently available only to invited users within the California workers' compensation system. This private beta is not intended for workers in other states.
California users may have additional rights under California law, including the California Consumer Privacy Act (CCPA). You may exercise those rights by contacting us at the address below.
